OU Staff Senate adopts new e-mail server policies

Staff Senate members approved an e-mail policy Wednesday afternoon outlining the appropriate use for the university systems.
The interim policy has been in the works for nearly a year and has gone through several revisions after being presented to faculty and staff members.
"We don't currently have a policy in place for e-mail," said Dan Hough, immediate past Staff Senate chairman and liaison to Information Technology Council. "It's an important tool for the university. I'm glad to see we're making progress."
The policy applies to both staff and faculty as well as students, Hough said.
The document outlines the appropriate use and responsibilities for users of university e-mail. It includes ensuring that all material sent using the system can be traced back to the sender. It also requires that mass e-mails be approved in accordance with the University Mass E-mailing Policy, and it does not allow unsolicited, junk e-mail to be sent to groups of users.
Those wishing to view the policy can do so at ITC's Web site, www.ou.edu/committees/itc.
If a violation of the policy occurs, the document calls for the user's e-mail account to be disabled. The vice president responsible for that user then makes a decision whether the account can be re-activated.
Earlier in the meeting, Debbie Copp, representative from the Informational Staff Association, informed the staff members that faculty and staff raised more than $1.6 million for Campus Campaign.
Campus Campaign is the annual fund-raising event that gives current and retired faculty and staff the opportunity to give back to OU, Copp said.
Copp said she was most impressed that $12 thousand was raised for the Sooner Heritage Scholarship fund, the award OU President David L. Boren said he is hoping students will apply for to make up for the looming raise in tuition.
"This sends a really strong message about how much we all believe in what's going on on campus," Copp said. "We all really do belong to the same family; it's great to see us all come together like this."
Campus Campaign allows donors to designate which area of the university they want to give to.
The final amount collected is still not known.
Chairwoman Jackie Farley also reminded the members that the Staff Awards Ceremony will be held on May 2.
"It's one of the fun times we can all get together and recognize each other for a great year," Farley said.
